How to Set Up a Payment Gateway in vcita

Overview

The Business Management Platform allows businesses to accept online payments by integrating with various payment processors. Businesses can connect to multiple payment gateways to provide clients with flexible payment options.

vcita supports the following payment processors:

  • vcita Pay
  • Stripe and Square – Accept and process credit card payments, with funds deposited directly into a bank account.
  • PayPal – Payments are deposited into a PayPal account. Users must manually transfer funds to their bank.

If PayPal is the only connected payment processor, credit card payments cannot be accepted. It is recommended to connect both a credit card processor (Stripe or Square) and PayPal for more payment flexibility.


1. Setting Up a Payment Gateway

Step 1: Navigate to Payment Settings

  1. Log in to your vcita account.
  2. Go to Settings > Payments.
  3. Scroll to Choose Your Preferred Payment Methods.
  4. Select and connect a payment gateway.

2. Connecting a Square Account

  1. Scroll down to Payment Processor Settings and enable the Square option.
  2. Click "Connect" to proceed.
  3. A login window will appear:
    • New Square users – Create a new Square account.
    • Existing users – Log in with Square credentials.
  4. Choose the data you want to sync from Square (this does not affect the Square account).
  5. If "No Thanks" is selected, the connection will still be established.
  6. Click Save at the top of the page to finalize the setup.

3. Connecting a Stripe Account

  1. Scroll down to Payment Processor Settings and enable the Stripe option.
  2. Click "Connect."
  3. A login window will appear:
    • New Stripe users – Create a Stripe account.
    • Existing users – Click Sign In in the top right corner.
  4. Authorize the connection between vcita and Stripe.
  5. Click Save at the top of the page to complete the setup.

4. Connecting a PayPal Account

  1. Scroll down to Payment Processor Settings and enable the PayPal option.
  2. Click "Connect."
  3. A PayPal Business Account is required. If using a personal PayPal account:
    • Convert it to a business account or
    • Create a new PayPal Business Account.
  4. Log in using PayPal Business credentials and click Next to authorize the connection.
  5. The connected PayPal email will be displayed.
  6. Click Save at the top of the page.
